Business Operations Coordinator

Closing Date for this role: 19th February 2026.

Location: UK (remote-first) with occasional team meetups as required.

Contract: Permanent, 3 days per week (with opportunity to increase later)

Basic salary(FTE): £34,167–£40,000 (£20,500–£24,000 pro rata for 3 days per week).

Bonus: Discretionary, subject to company and individual performance.

The role

We are seeking an organised, proactive Business Operations Coordinator to run the day-to-day operational cadence that keeps BlueprintCo in control of resourcing, delivery coordination, and commercial reporting. The focus is on time recording, invoicing, maintaining trusted trackers, and keeping the directors sighted on what is happening, what is due, and what needs a decision.

You will be central to a small team. You will run the core processes, chase politely and consistently, keep systems up to date, and provide clear status so the directors can focus on delivery, bids, and leadership work. You will also spot where processes can be improved and feed back practical options to the directors as we scale.

What success looks like

Within 8 to 12 weeks:

  • Weekly time and activity summaries are completed by our team, associates and delivery partners on time each week.

  • Invoicing is accurate, issued on a predictable cadence, and overdue invoices are managed consistently with sensible escalation.

  • Team meetings and coordination are scheduled, prepared, and actioned without last-minute scrambling.

  • Key business trackers are up to date and easy to trust.

Responsibilities

  • Run weekly time and activity recording: reminders, chasing, resolving gaps, and closing the week cleanly.

  • Maintain our contracts, POs and invoicing tracker.

  • Prepare and send invoices, process supplier invoices and follow up on overdue invoices politely and consistently.

  • Ensure that inputs are made into our forward look (team bookings, cash flow, P&L forecast).

  • Maintain consultant forward bookings, job planning and availability tracking.

  • Coordinate diaries and logistics for internal and external meetings: scheduling, agendas, actions, and chasing owners to closure.

  • Support onboarding/offboarding and delivery partner/associate administration (basic coordination, records, and access/logistics).

  • Identify process improvements and feed back options to the directors to improve reliability and reduce friction as we scale.

Essential experience and skills

  • Experience running operations/admin in a small business, consultancy, or professional services environment.

  • Strong coordination and diary management capability.

  • Comfortable running invoicing workflows and accounts receivable follow-up (you do not need to be an accountant).

  • Strong written communication: you can summarise status, decisions needed and next steps clearly.

  • Highly organised and reliable, able to build routines and stick to them.

  • Discreet and trustworthy with sensitive information.

  • Confident using spreadsheets/trackers and learning tools quickly (Most of our systems are managed in Notion).

Desirable

  • Experience supporting a distributed, remote-first team.

  • Experience working with time tracking/invoicing tools (for example Xero or similar).

  • Process-minded approach: you enjoy simplifying workflows and keeping them working over time.
